Race To Approval Mortgages Inc. (“we,” “us,” or “our”) operates the website racetoapproval.ca. Carey Brooks is a licensed Mortgage Agent Level 1 (M25000119) operating under Real Mortgage Associates Inc. (Licence #10464), based in London, Ontario, Canada.

• Submit a contact form on our website (name, email address, phone number, and your message)
• Book a call through our Calendly integration (name, email address, and scheduling preferences)
• Submit an event inquiry form (name, email address, phone number, event details)
• Use our pre-qualification or refinancing tools (name, email address, phone number, income, and property details)
• Register for a Race To Approval sim-racing event (age, racer handle or first name, car number, and — for adult participants aged 18 and older who consent — phone number and/or email address)

We do not collect information automatically through cookies, tracking pixels, or analytics tools beyond what is necessary for the functioning of third-party services described below.

How We Use Your Information

The personal information we collect is used to:

• Respond to your inquiry or request
• Schedule and conduct consultations
• Provide mortgage-related guidance and services
• Send a one-time auto-reply confirming receipt of your inquiry
• Display your racer handle and lap time on the public event leaderboard
• Send event-related lap time results (adults who provide consent only)

We do not use your information for marketing purposes unless you explicitly opt in. We will never sell, rent, or share your personal information with third parties for their marketing purposes.

Race To Approval Events

We host live sim-racing activations at public events. When you register for an event through our Pit Pass form, we collect the following information:

All participants:

• Age (used to assign your racing division and is not displayed publicly)
• Racer handle or first name (displayed on the public event leaderboard)
• Car number (displayed on the public event leaderboard)

Adult participants (18 and older) who provide consent:

• Phone number and/or email address (used to deliver your lap time results and, if you consented, future event and mortgage-related communications)

We do not collect contact information from participants under 18. Minor participants' data is used solely for leaderboard display and event metrics during and after the event. Participants of any age may use a nickname or alias instead of their real name.

Public Leaderboard:

Your racer handle (or first name) and lap time are displayed on a publicly accessible event leaderboard during and after the event. No contact information, age, or other personal details are ever displayed publicly. If you wish to have your results removed from the leaderboard, you may contact us at any time.

Third-Party Services

Our website integrates the following third-party services:

• Calendly— For scheduling calls. Calendly collects your name and email when you book a time. Their privacy policy is available at calendly.com/privacy.
• Resend— For email delivery. When you submit a contact or event inquiry form, your information is transmitted via Resend to deliver the email. Their privacy policy is available at resend.com/legal/privacy-policy.
• Bendigi— For mortgage calculators. These tools operate within embedded widgets and may collect usage data. We do not receive personal information from Bendigi.
• MCC Home App— For pre-qualification and refinancing assessment tools. When you use these tools, the information you provide (name, contact details, income, and property information) is collected by the Canadian Mortgage App and transmitted to our mortgage application system for follow-up. • Google Fonts— For typography. Google may log basic connection data when fonts are loaded. Their privacy policy is available at policies.google.com/privacy.
• Twilio— For SMS message delivery. When adult event participants provide a phone number and consent, we use Twilio to deliver lap time results and event-related communications. Their privacy policy is available at twilio.com/legal/privacy.
• Zapier— For workflow automation. Adult event participant data may be transmitted to our customer relationship management system via Zapier. Their privacy policy is available at zapier.com/privacy.

Data Retention

We retain personal information only for as long as necessary to fulfill the purpose for which it was collected, or as required by law. Contact form submissions are retained in our email system for the duration of the client relationship. You may request deletion of your data at any time.

Event registration data (racer handles, car numbers, and lap times) is retained for leaderboard display purposes. Contact information provided by adult event participants is retained for the duration of the relationship or until consent is withdrawn.

Your Rights Under PIPEDA

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

• Know what personal information we hold about you
• Request access to your personal information
• Request correction of inaccurate information
• Withdraw consent for the collection or use of your information
• File a complaint with the Office of the Privacy Commissioner of Canada

Security

We take reasonable measures to protect your personal information from unauthorized access, disclosure, or misuse. Our website is served over HTTPS, email addresses are obfuscated in the source code, and form submissions are transmitted securely.
